The Vehicle & Equipment Support Supervisor oversees the Fleet’s Department administrative functions and maintains all asset files for the life of the assets. This position provides support to operations by ensuring they have the vehicles and equipment needed to complete their daily tasks. The Vehicle & Equipment Support Supervisor creates and provides reports to track assets and productivity.
Essential Functions:
The essential functions include, but are not limited to the following:
• Responsible for all company wide rentals- including ordering, tracking, and paying all invoices.
• Complete assets intake and birth certificates for new assets timely.
• Research needed vehicles and equipment to fill the operation’s requests.
• Research and establish suppliers for needed services and support.
• Manage and oversee timely rental requests and provide customer updates and reports.
• Process invoices timely to meet contractual payment terms.
• Oversee GPS management and generate monthly reports for tracking and accountability.
• Maintain accurate vehicle and equipment records.
• Generate weekly and monthly Fleet reports for metrics tracking.
• Review daily inspection reports of Fleet equipment.
• Coordinate and maintain an accurate schedule of due dates for vehicle license plates, titles, and annual renewals for all assigned assets.
• Support Fleet Management with completing and submitting required State and Federal compliance documents.
• Follow up on tasks and assignments promptly.
• Assist Fleet Department necessary to reduce work overload on team members.
• Oversee all asset disposals and auctions with the contractual auction company.
• Oversee all tracking and management files for accuracy.
• Establish standardized methods, processes, and procedures to improve operational efficiencies and flow.
• Maintain and create excellent relationships with internal and external customers.
• Work with operations to improve fleet utilization.
• Supervise the Rental Coordinator and workflow to reduce rental costs.
• Acquire fleet and equipment needs for operations (company transfers, purchases, leases, or rentals) to meet daily needs.
• Monitor operating leases of the company and work with the fleet operations team to schedule delivery, and turn-ins, and to reduce damages fees.

Job Description
Qualifications/Special Knowledge Skills:
• Excellent verbal and written communication skills.
• Excellent organizational skills with the ability to work effectively in a team environment.
• Proficient in multiple technology platforms including Microsoft Office Suite and databases.
• Must be able to work with minimal supervision prioritizing work in a fast-paced multi-task environment.
• Attention to detail, high accuracy, and excellent follow-up skills are required.
• Ability to build positive working relationships with multiple levels of employees and management.
Education/Experience:
• Bachelor’s degree Preferred.
• Eight years or more experience supervising personnel
• Eight years of administrative experience
• Six years of fleet operations experience preferred.

While performing the duties of this job, the employee is regularly required to talk or listen. The employee is frequently required to stand, walk, use hands/fingers to handle or feel, and reach with hands and arms.

• Able to walk, lift, reach, stoop, stand, grasp, balance, climb, kneel, crouch, and lift up to 15 pounds frequently.
• Ability to travel as needed.
