The Fleet Administrator manages and coordinates all administrative aspects of the vehicle and equipment fleet. This role maintains all asset files needed to meet regulatory guidelines and provides administrative support for asset life cycle management and rentals. This position is responsible for ensuring compliance with vehicle registrations and supporting administrative needs of fleet operations.

Essential Functions:

The essential functions include, but are not limited to the following:

  • Maintains accuracy of fleet data within the fleet management system(s) and ensures integrity of asset records
  • Complete the setup of new equipment and scan all documents, photos, and any supporting documents to the fleet management software system.
  • Scan and save asset documents (titles, DOT reports, tag registrations, etc.) to the asset record in the fleet management software system for the life of the asset.
  • Responsible for new vehicle initial registrations and annual tag renewals of on-road assets
  • Coordinate and maintain an accurate schedule of due dates for vehicle license plates, titles, and annual renewals for all assigned assets.
  • Set up new equipment with decals, GPS units, and equipment numbers.
  • Orders and maintains asset decals for new assets.
  • Process invoices and support equipment rentals and purchases
  • Reconcile IFTA fuel receipts and scan them into files.
  • Order fleet management cards for new assets and track them for accuracy.
  • Update the master equipment files and maintain accuracy before, during, and after the annual inventory is complete.
  • Update move tickets to reflect the correct asset location while updating the master equipment list and GPS monitoring system.
  • Track shore boxes and road plates on the master equipment file.
  • Complete asset disposals and update asset files accordingly.
  • Coordinate and maintain an accurate schedule of due dates for vehicle license plates, titles, and annual renewals for all assets.
  • Support fleet management with the completion and submission of required state and federal compliance documents.
  • Coordinates and manages travel needs for Fleet personnel
  • Assist Fleet Department to reduce work overload on team members.

Qualifications/Special Knowledge Skills:

  • Excellent verbal and written communication skills.
  • Excellent organizational skills with the ability to work effectively in a team environment.
  • Proficient in multiple technology platforms including Microsoft Office Suite and databases.
  • Must be able to work with minimal supervision prioritizing work in a fast-paced, multi-task environment.
  • Excellent follow-up skills and detail accuracy.
  • Ability to build positive working relationships with multiple levels of employees and management.

Education/Experience:

  • Five years or more of administrative and office experience.
  • Fleet administrative experience preferred.

The employee is frequently required to stand, walk, use hands/fingers to handle or feel, and reach with hands and arms.

  • Prolonged periods sitting at a desk and working on a computer.
  • Able to walk, lift, reach, stoop, stand, grasp, balance, climb, kneel, crouch, and lift up to 15 pounds frequently.
